Overview of Employee Settings

This is a description of the settings and tools you can find under each employee profile. To search for an employee and to access these settings follow the instructions here.

Employee Settings

  • You will have access to view and edit Employee ID and Clock PIN.

    • Employee ID: Number assigned by the company to identify an employee.

    • Clock PIN: Number assigned to the employee and used to identify them as they clock in or out.

  • Under Punch Default Settings drop-down tab you will have the options to select the punch permission hierarchy as well as the default hierarchy.

    • Punch permission hierarchy: controls which locations the employees can punch at.

    • Default hierarchy: The default location for a punch when the employee has several job site options. It will automatically select the default unless changed manually or the employee is in or near to another geofence within his hierarchy permissions.

  • Under Schedule and Payroll Settings drop-down tab you will have the options to change payroll hierarchy and schedule ranking

    • Payroll Hierarchy: the hierarchy level that employees are grouped in to organize and prepare payroll.

    • Schedule Ranking: the number that determines the seniority of the employee usually based on the amount of time they have been working for that company. When scheduling is done they are typically the first assigned.

Note: the schedule ranking is automatically applied when scheduling is generated automatically in Grand Central.

  • Under the User Policy drop-down tab you can:

    • Assign or change the supervisor.

    • Determine if they can punch from a personal device or one provided by the company

    • Mark if they are an active employee, meaning they are currently being paid for their labor in the company.

    • Grant access to self-service login, giving them the ability to web punch. Instead of using a mobile device, they would log into a limited version of Grand Central to punch in and out.

    • Verify if the Mobile Biometric Agreement has been accepted by the employee in order to grant access to the mobile app and punch.

Note: If an employee has access to the self-service login it would also enable the employee to self-register a mobile device in individual mode through a code sent to their email without the aid of a manager or supervisor.

  • The User Information drop-down tab:

    • Shows hire date for the employee

    • Mark whether an employee is exempt, the flag is typically used to specify whether an employee qualifies for overtime pay or not; for example salaried employees. Can also be used with other features like punch rules.

    • The Agency toggle indicates if the employee is contracted from an outside agency.

  • To view notes or audit history select the grey information icon in the upper right-hand corner above the profile image.

    • To create a new note for the employee select the yellow add button in the top right corner of the notes page.

    • Audits are system-generated notes to help with understanding some of the time-card details.

  • You can Force Mobile Sync, meaning that all changes made in Grand Central will be implemented and applied in the mobile app. This is typically used only when there is a sync delay or error, all changes in grand central should automatically sync to mobile.

    • To force mobile sync look for this symbol at the top of the employee settings page next to the weekly hours counter total.
